Whistle Stop Job Descriptions

Manager

  1. Oversee all areas of the Whistle Stop Thrift Shop operations
  2. Work in the shop a minimum of six hours per week
  3. Have a general knowledge of all jobs in the thrift shop
  4. Make deposits on days the shop is open
  5. Hold monthly Whistle Stop Coordinator meetings
  6. Hold bi-monthly Whistle Stop committee meetings (every other month)
  7. Attend monthly OWC board meetings and report updates/changes, etc.
  8. Work with OWC treasurer and Whistle Stop bookkeeper to ensure proper financial issues are met
  9. Review, amend and update procedures as necessary with input from Coordinators and Whistle Stop committee members
  10. Be available to Coordinators and Volunteers for questions or comments
  11. Work with CID or MP’s as needed
  12. Assign, keep track of and collect thrift shop keys

Assistant Manager

  1. In the absence of the Manager, be available to complete management duties
  2. Have a general knowledge of all duties in the thrift shop
  3. Attend and assist with meetings
  4. Plan and schedule events (such as Santa or Easter bunny visits)
  5. Notify Advertising Coordinator of special sales and events
  6. Work with outside vendors (i.e. Sir Roberts)
  7. Take weekly inventories of supplies and make purchases as needed

Coordinators

  1. Work in the shop one day a week
  2. Open and the close shop
  3. Operate the cash drawer
  4. Assign duties to Volunteers
  5. Greet customers and direct Volunteers
  6. Prepare day’s deposit for Manager
  7. Assure dropped off items are brought in the shop
  8. Maintain safe environment for Volunteers and customers (keep steps clear, watch for hazards, be aware of base safety regulations)
  9. Attend Coordinator meetings

Volunteer Coordinator

  1. Coordinate recruitment of Volunteers
  2. Coordinate training of new Volunteers
  3. Maintain Volunteer schedule
  4. Escort new Volunteers on first day at the shop, if possible
  5. Track Volunteer hours (i.e. index card system)
  6. Make Volunteer name tags
  7. Hold quarterly Volunteer meetings
  8. Attend Whistle Stop committee meetings
  9. Manage Whistle Stop table at Welcome Aboard and similar events

Advertising Coordinator

  1. Make flyers for special events/sales
  2. Prepare Windsock ads
  3. Contact Windsock about coverage for special events
  4. Submit weekly/monthly info for marquee
  5. Assist Volunteer Coordinator with Welcome Aboard
  6. Produce brochures, tri-folds, posters, etc., to increase public awareness
  7. In absence of Display Coordinator, produce and maintain signs in the thrift shop

Display Coordinator

  1. Devise plan to arrange and display merchandise
  2. Design shop layout
  3. Provide display guidance to Coordinators and Volunteers
  4. Produce and maintain signs in the shop

Volunteers

  1. Sort and display merchandise as directed
  2. Assist customers
  3. Straighten merchandise and help keep the shop clean and neat
  4. Assist parents with children if necessary
  5. Bring in donations
  6. Record personal volunteer hours using the shop’s tracking system
